Quick Steps

  1. Launch Outlook

    • Click on Start and start typing "Outlook".
    • Click on Outlook.
  2. Click File > Options

    • Click on File
    • Click on Options (bottom left)
  3. Mail (tab) > Signatures

    • Click on the Mail tab (left sidebar)
    • Click on Signatures...
  4. Create New Signature Template

    • Click New, to create a new Signature
  5. Give a new name for your signature

  6. Populate the "Edit signature" box with your desired signature or template

  7. Easily Use your Template (Signature)

    • Create New Email
    • Click on Insert
    • Select your Signature / Template
    • Ready to send!

An email signature is a snippet of text placed at the bottom of each email which conveys certain details about the sender of the email. A signature may include the sender’s name, contact details, picture or other information.

  1. Creating a Signature or Template

    • Launch Outlook
    • Click on Start and start typing “Outlook”
    • Click on Outlook
  2. Open Outlook Options

    • Click on File
    • Click on Options (bottom left)
  3. Go to Signatures

    • Click on the Mail tab, then
    • Click on the Signatures button
  4. Create a New Signature or Template

    • Click the New button

    • Enter a new name for your signature

    • Populate the “Edit signature” box with your desired signature or template

    • Click OK and then OK again

  5. Start Using Your New Signature

    • Click on the New Email button

    • Click on the Insert tab
